Platinum Ledgers LLC ("Platinum Ledgers," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect through our website, platinumledgers.com (the "Site"), and through our referral program (the "Referral Program"), how we use it, and the choices available to you. It does not apply to information you provide to us after engaging our services, which is governed by our client engagement agreement and applicable professional standards.
1. Information We Collect
Contact and consultation requests. When you submit our contact/consultation request form, we (through our form provider, HubSpot) collect the information you choose to provide, which may include: your first and last name, email address, phone number, company name, which description best fits you or your business, how many entities or legal structures are involved, whether you currently have a dedicated CFO or controller, what is prompting you to look into our services, how you heard about us, and, if applicable, who referred you.
Scheduling. If you use our online scheduling tool to book a consultation, we collect the scheduling information you provide, including your name, email address, and the date and time you select, along with details automatically associated with the booking, such as your time zone.
Referral Program. If you submit a referral, we collect your name, email address, phone number, and relationship to the person you are referring, along with the referred person's name, business name, email address, and phone number. If you apply to become a Referral Partner, we also collect your company name, profession, and any professional license type, license number, issuing state, and employing broker or firm you provide.
Information provided about others. If you submit a referral, you confirm that the person you are referring has agreed to be contacted by Platinum Ledgers. If we receive your information through a referral, we use it only to contact you about our services and to administer the Referral Program. You may ask us at any time to stop contacting you or to delete that information.
Phone and text communications. If you call or text our business phone number, our phone service provider processes your phone number and the content and timing of those communications.
Technical information. When you visit the Site, we automatically receive limited technical information, such as your IP address, browser type, and general access and security logs, collected by our hosting and network security provider, Cloudflare, as a standard part of delivering and securing the Site.
Analytics. We use Cloudflare Web Analytics to understand aggregate site traffic, such as which pages are viewed, referring websites, and general visitor location and device type. This tool is cookieless and does not track individual visitors across other websites or collect personally identifiable information.
2. How We Use Your Information
We use the information collected through the Site to respond to your inquiry, schedule and prepare for a consultation, evaluate whether our services are a good fit for you, and maintain records of prospective client communications.
We use Referral Program information to contact referred persons, determine whether a referral qualifies, attribute each referral to the correct referrer, apply referral credits, pay referral fees, and meet our tax reporting obligations.
When a referral qualifies, we tell the referrer only that the referral qualified and the amount of any credit or fee earned. We never share a client's financial information or the details of the services we provide with a referrer.
We do not sell your information, and we do not share it with third parties for their own advertising or marketing.
3. Third-Party Service Providers
We use the following providers to operate the Site, manage inquiries, and administer the Referral Program:
HubSpot, Inc. — processes and stores information submitted through our contact/consultation form and serves as our customer relationship management (CRM) system.
Google LLC — provides Google Workspace services we use for business operations, including Google Calendar appointment scheduling for consultation bookings; Google Forms, which collects information submitted through our referral and Referral Partner application forms; Google Drive storage for Referral Program records; Google eSignature for Referral Partner Agreements; and Google Voice for business phone calls and text messages.
Cloudflare, Inc. — provides website hosting, DNS, content delivery, and security services, processes standard connection and security log data as part of those services, and provides Cloudflare Web Analytics as described above.
Mercury Technologies, Inc. — provides the banking and payments platform we use to collect IRS Form W-9 information from, and send referral fee payments to, approved Referral Partners.
These providers may process your information on our behalf subject to their own privacy policies and data processing terms. We do not permit these providers to use your information for purposes other than providing services to us.
4. Cookies and Similar Technologies
Our contact form is provided by HubSpot, our referral forms by Google Forms, and our appointment scheduler by Google Calendar. These services may set cookies or use similar technologies necessary for their tools to function. Cloudflare Web Analytics does not use cookies. We do not currently use advertising or retargeting cookies on the Site. You can control or delete cookies through your browser settings; doing so may affect the functionality of our forms and scheduler.
5. Information We Do Not Collect Through This Site
We do not collect bank account or routing numbers, tax returns, Social Security numbers, taxpayer identification numbers, or payroll data through the Site. If you engage us for services, that information is requested and exchanged through separate, secure channels appropriate for sensitive financial data. Referral Partners provide W-9 and payment information directly through our payments platform, not through the Site or by email.
6. Data Retention
We retain information submitted through the Site for as long as reasonably necessary to respond to your inquiry and, if you become a client, as part of our client records, consistent with applicable professional recordkeeping obligations. If you do not engage our services, we periodically review and remove inquiry records that are no longer needed. Referral Program records, including referral submissions, signed agreements, credits, fee payments, and tax forms, are retained for as long as needed to administer the Referral Program and as required by applicable tax recordkeeping rules.
7. Your Rights and Choices
You may ask us to access, correct, or delete the information you submitted through the Site, or information submitted about you through a referral, by contacting us at the email address below. We will respond to reasonable requests within a reasonable timeframe, subject to any recordkeeping obligations that apply to information tied to an active client engagement or to referral payments we are required to report.
8. Children's Privacy
The Site is intended for business use and is not directed to children. We do not knowingly collect personal information from individuals under 18 years of age.
9. Data Security
We maintain administrative, technical, and physical safeguards designed to protect information submitted through the Site, consistent with our internal Written Information Security Plan. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. We will post the revised policy on this page with an updated effective date.
